This notice explains what personal data we collect through nordicbirchdesign.fi, why we collect it and how long we keep it. We collect only what we need to answer you and to handle your order.

Who is responsible for your data

Nordic Birch Design is a brand of Jalokoti Oy. Please contact us at this address with any question about your data.

Reserving a lamp

When you reserve a lamp, we receive your name, email address, country, the number of lamps and any message you write.

We use these details to confirm your reservation, agree on delivery and price, and complete the sale if you decide to buy. The legal basis is taking steps at your request before entering into a contract, and the contract itself once you order.

Trying the lamp in your room

The room tool works entirely in your browser. Your photo is not uploaded and we never see it while you use the tool.

If you choose to send the picture to us, we receive the picture, your name, email address and any message you write. We use them only to answer your question and advise you on the lamp. The legal basis is your consent, which you give when you send the picture. You can withdraw it at any time by emailing us, and we will delete the picture.

To prevent misuse, the server keeps a one-way coded form of your IP address for one hour. It cannot be turned back into your address.

Emails

If you email us, we use your message and contact details to reply to you. The legal basis is our legitimate interest in answering customer enquiries.

How long we keep your data

• Reservations that do not lead to a purchase are deleted within 12 months.
• Room pictures are deleted within 6 months of our last contact with you, or sooner if you ask.
• When you buy a lamp, the order and invoice details are kept for as long as Finnish accounting law requires, usually six years after the end of the financial year.

Who else handles your data

We do not sell your data or share it for marketing.

Our web hosting provider, Domainkeskus Oy, processes data on our behalf. It stores the website, the form submissions and our email in its data centres in Finland. Like most servers, it keeps short technical logs, including IP addresses, for security.

Cookies

This site does not use cookies, analytics or advertising trackers. All fonts and images are served from our own server, so opening the page does not send your data to third parties.

Your rights

You have the right to:

• see the data we hold about you
• have incorrect data corrected
• have your data deleted, unless the law requires us to keep it
• restrict or object to how we use your data
• receive the data you gave us in a machine-readable format
• withdraw your consent at any time

Email us to use any of these rights. We reply within one month.

If you think we handle your data unlawfully, you can complain to the Finnish Data Protection Ombudsman at tietosuoja.fi, or to the data protection authority in your own country.

Security

Form submissions and room pictures are stored on our server outside the public part of the website, so they cannot be opened from the web. Only we can access them.

Changes to this notice

We will update this page if the way we handle data changes. The date at the top shows the latest version.
